No Horse Is Released Without Completed Requirements

A horse may not leave Freshian Horse Farm until the mandatory deposit and remaining balance are received, all required paperwork is signed, and an approved pick-up appointment has been confirmed. Horses are released only to the buyer or a transporter authorized in writing.

A Safe, Transparent Horse Pick-Up Experience

Freshian Horse Farm is committed to responsible horse ownership, ethical equine sales, and safe transportation practices.

At Freshian Horse Farm, every horse’s health, safety, and welfare guide the way we manage visits, sales, reservations, and pick-up appointments. Because horses are living animals, the final transfer from our farm to their new home requires careful planning, accurate documentation, and clear communication between the buyer, seller, and transporter.

This policy applies to all horses purchased, reserved, boarded, trained, or collected from Freshian Horse Farm. It explains the mandatory deposit requirement, accepted payment methods, required equine paperwork, Coggins and health certificate expectations, pick-up scheduling, transporter authorization, late pick-up fees, and buyer responsibilities.

By placing a deposit, signing a sales agreement, scheduling a pick-up appointment, or arranging transportation, the buyer confirms that they have read, understood, and accepted this policy. Freshian Horse Farm may update these terms periodically, and the version published at the time of deposit or purchase confirmation will apply to that transaction.

Our goal is simple: to ensure every horse leaves our farm in a safe, organized, and professional manner while giving buyers confidence throughout the purchase process.

Safe Transportation

Mandatory Deposit Requirement

A deposit is required to reserve a horse and remove it from general availability.

A mandatory non-refundable deposit is required to reserve any horse at Freshian Horse Farm. The deposit secures the buyer’s opportunity to complete payment, arrange transportation, and schedule pick-up. Until a deposit is received, the horse remains available on a first-come, first-served basis and may be reserved or sold to another qualified buyer.

Unless otherwise stated in the horse’s listing, invoice, or written sales agreement, the standard deposit is 10% of the advertised purchase price. Certain horses may require a larger deposit, including trained performance horses, breeding stock, imported horses, young prospects, or horses being held for an extended period.

The deposit is applied toward the total purchase price. The remaining balance must be paid in full before the horse is released. Freshian Horse Farm does not release horses based on partial payment, pending transfers, uncleared checks, verbal commitments, or incomplete financing arrangements.

Because a deposited horse is held off the market, deposits are non-refundable if the buyer cancels the purchase, fails to pay the balance, misses the agreed pick-up window, or cannot arrange transportation. This approach protects the farm’s time, care costs, and ability to offer the horse to other serious buyers.

If Freshian Horse Farm determines before pick-up that a horse has developed a significant injury, illness, or health issue affecting its suitability for sale, the farm will notify the buyer promptly. In that case, the farm may offer a comparable replacement horse, apply the deposit toward another available horse, or refund the deposit at the farm’s discretion.

Deposit Summary

  • A mandatory deposit is required before any horse is held or removed from active availability.
  • The standard deposit is 10% of the purchase price unless otherwise agreed in writing.
  • The deposit is applied toward the horse’s total purchase price.
  • The remaining balance must be paid before pick-up and release.
  • Deposits are non-refundable if the buyer cancels or fails to complete the transaction.

Payment Before Horse Release

Full payment must be received and confirmed before any horse leaves Freshian Horse Farm.

All horses must be paid in full before pick-up. The final amount due includes the purchase price minus the deposit already paid, plus any approved boarding fees, veterinary paperwork fees, registration transfer costs, brand inspection fees, administrative charges, or other services requested by the buyer.

Accepted payment methods may include bank wire transfer, certified bank check, cashier’s check, approved electronic payment, major credit or debit card, or cash for in-person transactions. Personal checks are accepted only when adequate time is allowed for funds to clear before the scheduled pick-up date.

Buyers should allow extra time for bank transfers, international payments, mailed checks, and financing approvals. A payment is not considered complete simply because it has been initiated; the horse may not be loaded until Freshian Horse Farm has received and verified the funds.

If a third party, lender, family member, trainer, agent, or business will be making payment, all parties must be identified before pick-up. The buyer listed on the sales agreement remains responsible for ensuring that payment is completed and that all documents are accurate.

Transportation is not included in the purchase price unless expressly stated in writing. The buyer is responsible for arranging and paying for horse transportation, professional equine hauling, fuel, tolls, layover care, insurance, and any destination-related expenses.

Required Paperwork for Pick-Up

Accurate paperwork protects the buyer, seller, transporter, and horse throughout the transfer process.

Proper equine paperwork is mandatory for every horse pick-up at Freshian Horse Farm. Complete documentation confirms ownership, identifies the horse, records payment, supports safe transportation, and helps prevent misunderstandings after the horse leaves the farm.

Before release, the buyer or authorized representative must complete and sign all required documents. Depending on the transaction, these may include a purchase agreement, bill of sale, liability release, farm rules acknowledgment, pick-up authorization form, and transporter authorization form.

A signed bill of sale should clearly identify the horse by name, breed, sex, age, color, markings, registration number, microchip or tattoo number when applicable, purchase price, deposit paid, remaining balance, and transfer date. It should also identify the buyer and seller and state the date of ownership transfer.

Freshian Horse Farm will provide available registration papers, breed association documents, passports, microchip records, vaccination records, deworming records, farrier records, and veterinary records when applicable. Some registration transfers must be completed directly through the appropriate breed association and may take additional time after pick-up.

Buyers should retain copies of all documents, including digital scans and printed originals. Copies should also be provided to the transporter, veterinarian, boarding facility, or destination barn before arrival. Transport paperwork should be prepared before pick-up day, not while the trailer is waiting to load.

Common Pick-Up Documents

  • Signed horse purchase agreement or equine sales contract.
  • Signed bill of sale identifying the buyer, seller, horse, price, and transfer date.
  • Receipt or confirmation of the mandatory deposit and full payment.
  • Current Coggins test documentation, when required.
  • Certificate of Veterinary Inspection or health certificate, when required.
  • Vaccination, deworming, and veterinary records when available.
  • Registration certificate, passport, microchip record, or breed transfer paperwork.
  • Written transporter authorization if someone other than the buyer is collecting the horse.
  • Signed liability release and farm safety acknowledgment.
  • Destination address, barn contact information, and emergency contact details.

Coggins, Health Certificates & Transport Documents

Health documentation requirements depend on the pickup location, destination, transporter, and final boarding facility.

Responsible horse transportation requires current health documentation. Depending on the destination and travel route, a current Coggins test and Certificate of Veterinary Inspection may be required. A Coggins test screens for equine infectious anemia, while a health certificate verifies that a licensed veterinarian has examined the horse and found it suitable for travel.

Freshian Horse Farm will provide available Coggins and health papers according to the terms of the individual sale. Buyers are responsible for confirming destination requirements, including testing windows, veterinary inspection timing, import permits, brand inspection rules, and documentation required by the receiving barn or transporter.

Requirements can vary by state, country, boarding facility, and transport company. Buyers should contact their veterinarian, transporter, and destination barn well before the scheduled pick-up date. Waiting until the day of pick-up to discover an expired Coggins test or missing health certificate can delay loading.

If Freshian Horse Farm arranges veterinary paperwork at the buyer’s request, the buyer agrees to pay any associated veterinary, inspection, mileage, administrative, or documentation fees. These charges are separate from the horse’s purchase price and must be paid before release.

Horses traveling across state lines, internationally, or to certain boarding facilities may require additional documents such as export health papers, import permits, vaccination records, brand inspections, ownership papers, or destination-specific entry forms. The buyer is responsible for understanding and meeting all destination requirements.

Scheduling Your Horse Pick-Up

All horse pick-ups are by appointment so our team can prepare the horse, paperwork, and loading process properly.

Freshian Horse Farm schedules horse pick-ups by appointment only. This allows our staff to confirm payment, finalize paperwork, prepare the horse, arrange safe handling, and ensure the appropriate team members are available on the scheduled date.

After the mandatory deposit is received, Freshian Horse Farm will work with the buyer to establish a practical pick-up date and arrival window. Buyers should consider trailer availability, transporter schedules, veterinary appointment timing, weather, travel distance, and the horse’s individual needs.

Buyers should arrive on time and bring valid photo identification, payment confirmation, completed paperwork, and transporter details if applicable. If another person will collect the horse, written authorization must be provided before the appointment.

If a delay is expected, contact Freshian Horse Farm as soon as possible. Repeated lateness, missed appointments, or failure to communicate may result in rescheduling fees, boarding charges, or forfeiture of the deposit.

Buyers should arrive with a clean, safe, properly maintained horse trailer. The trailer should have secure flooring, functioning doors or ramps, adequate ventilation, safe dividers when needed, and sufficient space for the horse’s size and temperament. Freshian Horse Farm may decline loading if a trailer is unsafe, overcrowded, unsanitary, or unsuitable for equine transport.

Transporter Authorization & Horse Release

Horses are released only to the buyer or an approved transporter listed in writing.

Freshian Horse Farm releases a horse only to the buyer named on the sales agreement or to a transporter authorized in writing by the buyer. This protects the horse from unauthorized removal and ensures that everyone involved understands who has legal authority to take possession.

If a professional shipper, trainer, friend, family member, or third-party hauler will collect the horse, the buyer must provide the transporter’s full name, business name, phone number, email address, driver information, trailer description, and expected arrival time. Written authorization must be received before the transporter arrives.

The authorized transporter must present valid identification and may be asked to verify the horse’s identity, review transport documents, and sign a release form. A horse will not be loaded simply because a trailer arrives at the farm; payment, paperwork, and authorization must all be confirmed first.

Buyers should share relevant handling information with the transporter, including the horse’s temperament, feeding needs, medication schedule, loading preferences, and any behavioral considerations. Clear communication helps the transporter provide appropriate care during loading, travel, rest stops, and arrival.

Freshian Horse Farm may photograph or video the horse before release for record-keeping purposes. These records help document the horse’s condition, appearance, and handling at the time of pick-up.

Late Pick-Up, Boarding & Extended Holding

Horses must be collected by the agreed pick-up date unless an extension has been approved in writing.

Horses must be picked up by the date agreed upon when the deposit is placed or the sales agreement is signed. If a buyer needs additional time, a written extension request must be submitted before the original deadline. Extensions are granted only when stall availability, staffing, and farm scheduling allow.

If a horse remains at Freshian Horse Farm after the agreed pick-up date without an approved extension, daily boarding and care fees will apply. These fees cover feed, water, stall cleaning, turnout when appropriate, handling, monitoring, and general daily care.

Boarding fees begin the day after the agreed pick-up date unless another arrangement is documented in writing. Additional fees may apply for specialized care, medication administration, veterinary treatment, farrier work, grooming, blanketing, training, or individual turnout.

If a buyer fails to pay the remaining balance, fails to arrange transportation, or does not respond to reasonable communication attempts, Freshian Horse Farm may cancel the sale, retain the deposit, and make the horse available to another buyer. Unpaid boarding, veterinary, or care costs may also be pursued under applicable law.

Buyers who expect delays should communicate early. A short extension can often be arranged when the request is made in advance and the buyer remains current on payment and paperwork.

Scenario What Happens Buyer Responsibility
Deposit received The horse is reserved and removed from general availability. Schedule pick-up and prepare payment.
Balance unpaid The horse cannot leave Freshian Horse Farm. Complete full payment before loading.

Late pick-up Daily boarding and care fees may apply. Request an extension or pay applicable fees.
Unauthorized transporter The horse will not be released. Provide written transporter authorization.

Horse Health, Farm Safety & Visitor Conduct

All visitors, buyers, and transporters must follow farm safety and biosecurity procedures.

Freshian Horse Farm follows practical biosecurity measures to protect the horses in our care. Visitors and transporters should follow staff instructions regarding parking, foot traffic, hand sanitation, equipment use, and access to barn areas. These measures help reduce the risk of spreading illness between farms, trailers, and equine facilities.

If your horse has recently been exposed to illness or shows signs such as fever, nasal discharge, coughing, diarrhea, skin infection, or reduced appetite, contact us before visiting. We may require a delayed pick-up, veterinary clearance, or additional precautions to protect horses on our property.

Buyers should inspect the horse carefully at pick-up and ask questions before loading. Once the horse leaves Freshian Horse Farm, the buyer assumes responsibility for its care, feeding, housing, training, veterinary needs, farrier care, insurance, and general welfare.

Horses are powerful animals and can be unpredictable, even when well trained. All visitors, buyers, handlers, and transporters must use calm, respectful handling practices. Children must be supervised at all times, and dogs or other animals may not be brought onto the farm without prior written approval.

Freshian Horse Farm may decline pick-up or ask a visitor to leave the property if unsafe behavior, intoxication, aggressive handling, disregard for staff instructions, or mistreatment of a horse is observed.

Ownership Transfer & Risk of Loss

Ownership and responsibility transfer according to the signed sales agreement and applicable law.

Ownership of the horse transfers to the buyer according to the terms of the signed sales agreement and applicable law. In most cases, ownership and risk of loss transfer when full payment is received and the horse is loaded onto the buyer’s trailer or an authorized transporter’s trailer.

After pick-up, the buyer is responsible for all costs and risks associated with the horse, including transportation injuries, illness, escape, injury to people or property, veterinary care, mortality, and ongoing maintenance. Buyers should consider equine insurance, particularly for valuable horses, performance horses, breeding stock, or horses traveling long distances.

Freshian Horse Farm discloses known material information about each horse to the best of its knowledge. However, horses are living animals, and no guarantee can be made regarding future health, behavior, performance, fertility, trainability, or suitability for a particular discipline unless specifically provided in writing.

Buyers are encouraged to arrange a pre-purchase veterinary examination when appropriate. A pre-purchase exam can provide valuable information about a horse’s current condition, but it does not guarantee future soundness or performance.

If registration papers are not available at the exact moment of pick-up, Freshian Horse Farm will provide them as soon as they are received from the breed association or completed through the required transfer process. The horse may still be picked up once payment and required travel documents are complete.

Preparing for a Smooth Pick-Up

Good preparation makes the horse’s transition safer, calmer, and more comfortable.

A successful pick-up begins before the trailer arrives. Buyers should prepare a safe destination, confirm stall or pasture availability, arrange feed and water, notify the receiving barn, and ensure someone will be available when the horse arrives.

For long-distance transportation, plan for rest stops, hydration, monitoring, and possible layover care. Long trips can be stressful for horses, so experienced equine transporters and thoughtful planning can make a meaningful difference in the horse’s comfort and recovery.

Buyers should have appropriate equipment ready at the destination, including a correctly fitted halter, lead rope, feed, water buckets, first-aid supplies, identification materials, and safe fencing or stall accommodation. New horses should be introduced gradually to new herd members, turnout areas, and routines.

Freshian Horse Farm is happy to provide basic feeding information, handling notes, and care recommendations when available. A gradual transition plan can help reduce stress and support the horse’s adjustment to its new environment.

If you have questions about preparing for pick-up, contact Freshian Horse Farm before the scheduled date. Early communication allows us to provide accurate guidance and avoid last-minute complications.

Pick-Up Policy FAQs

Answers to common questions about deposits, paperwork, transportation, and horse release.

Is a deposit required to reserve a horse?

Yes. A mandatory deposit is required to hold any horse at Freshian Horse Farm. The deposit reserves the horse for the agreed period and is applied toward the purchase price. Without a deposit, the horse remains available to other buyers.

Is the deposit refundable?

Deposits are generally non-refundable if the buyer cancels, fails to complete payment, or does not pick up the horse by the agreed deadline. A refund or replacement may be considered only if Freshian Horse Farm determines that the horse is unsuitable for sale due to a significant health issue discovered before pick-up.

Can someone else pick up my horse?

Yes, but only with written authorization. The buyer must provide the transporter’s name, contact information, and expected arrival time. The authorized person must present identification and sign the required release documents.

What paperwork do I need for pick-up?

You will typically need a signed sales agreement, bill of sale, payment receipt, liability release, transporter authorization if applicable, and available health records. Coggins and health certificate requirements depend on your destination and travel route.

Can I take my horse before paying in full?

No. Full payment, including the mandatory deposit and remaining balance, must be received and confirmed before the horse leaves Freshian Horse Farm.

What happens if I am late picking up my horse?

Contact us immediately. If the horse remains beyond the agreed pick-up date without an approved extension, daily boarding and care fees may apply.

Does Freshian Horse Farm provide transportation?

Transportation is not included unless specifically stated in writing. Buyers may arrange their own transport or request recommendations for reputable equine transport providers.
